PRIVACY, CAMERAS & MEDIA

Alpha Cheer and Tumbling Inc. (“Alpha”) respects the privacy of our athletes, families, visitors and website users. This page explains the information we collect, why we use it and the choices available to you.
INFORMATION WE COLLECT
Depending on how you interact with Alpha, we may collect:
• participant and parent or guardian names and contact information;
• a participant’s date of birth or age when needed for registration or age divisions;
• emergency-contact information;
• registration, booking, attendance, payment-status and communication records;
• limited health and safety information needed to support safe participation or emergency response;
• information submitted through our website, including inquiries, program interests and newsletter preferences;
• media choices and photographs, video or audio created during Alpha activities;
• video recorded by Alpha’s security cameras; and
• website information such as IP address, device or browser information, pages visited and cookie data.
Please provide only health information that Alpha reasonably needs for safe participation or emergency response. A complete medical history should not be submitted through a waiver or general inquiry form.
HOW WE USE INFORMATION
Alpha may use personal information to:
• manage inquiries, registrations, accounts, schedules, programs and events;
• communicate with athletes and families;
• provide requested updates and newsletters;
• support participant safety, first aid and emergency response;
• process and reconcile transactions;
• meet concussion-safety, insurance, record-keeping and legal obligations;
• investigate and respond to safety, security or other incidents; and
• honour each participant’s optional media selection.
Newsletter recipients may unsubscribe at any time using the link in an email or by contacting Alpha. Operational messages about a registration, booking, safety matter or account may still be sent where needed. Alpha does not sell or rent personal information.
WEBSITE AND COOKIES
Alpha’s website and its service providers may use cookies and similar technologies to operate the site, remember preferences, understand how visitors use it and support communications or marketing where permitted. You can control many cookies through your browser settings. Disabling cookies may affect how some parts of the website work.
SERVICE PROVIDERS AND PROCESSING OUTSIDE CANADA
Alpha uses service providers for functions such as website hosting, registration, waivers, payments, email, team communications and data storage. These providers include services such as Wix and Smartwaiver.
Some providers may process or store information outside Canada, including in the United States. Information handled outside Canada may be subject to the laws of the country where it is processed.
Alpha may also disclose relevant information to emergency responders, insurers, professional advisers, law-enforcement authorities or others when reasonably necessary and permitted or required by law.
OPTIONAL PHOTOGRAPHS, VIDEO AND AUDIO
Optional media permission is not a condition of registration or participation. During registration, adult participants and parents or guardians may decline optional media entirely or choose whether media may be used in private Alpha communications and/or Alpha-owned public channels.
“Private Alpha communications” means access-limited team or family communications and private albums. “Alpha-owned public channels” means Alpha’s website, organic social-media accounts and printed materials.
This permission does not include paid advertising, sponsor or partner campaigns, news-media licensing or third-party commercial promotion. Alpha will request separate, use-specific permission before using media for those purposes.
Media permission may be withdrawn for future use by contacting info@alphacheer.ca. Alpha will stop new optional uses and, where reasonably practical, remove material from Alpha-controlled online channels. Alpha cannot guarantee retrieval of material that has already been printed, distributed, downloaded or reshared by others. Where reasonably practical, Alpha will also respect a participant’s objection at the time a photograph or recording is being made.
VISIBLE SECURITY CAMERAS
Alpha operates two visible indoor security cameras in designated areas of the gym. The cameras record video continuously for safety, security and incident review. They do not record audio and are not concealed.
Security-camera footage is separate from optional media permission. It is not used for advertising or routine athlete promotion.
Access to live and recorded footage is limited to the gym owners and one designated gym director. Relevant footage may be reviewed or disclosed when reasonably necessary to investigate an incident, protect people or property, respond to an access request, support an insurance matter, assist law enforcement or meet a legal obligation.
The system uses rolling storage. Older footage is automatically overwritten as the system’s storage fills. A relevant clip may be preserved for longer when needed for a specific incident, investigation, insurance matter, access request or legal requirement. Preserved footage is deleted when it is no longer reasonably needed.
SAFEGUARDS AND RETENTION
Alpha uses reasonable physical, administrative and technical safeguards appropriate to the sensitivity of the information. Access is restricted to people who reasonably need the information for their Alpha responsibilities.
Personal information is retained only as long as reasonably necessary for program administration, safety, insurance, legal and dispute-resolution purposes and is then securely deleted or destroyed.
ACCESS, CORRECTION AND PRIVACY QUESTIONS
You may ask to access or correct your personal information, withdraw an optional consent, ask how your information has been used or disclosed, or raise a privacy question or concern.
Alpha may need to verify your identity before responding. Access may be limited where required by law or where necessary to protect another person’s privacy. Video may need to be masked or edited before release and may no longer be available if it has already been overwritten through the normal rolling-storage process.
